1. Overview
EntoTools ("we", "us", the "Service") is a free set of browser-based tools for entomological data, growing degree day (GDD) calculations, and specimen label generation. We are committed to collecting as little personal data as possible.
The Service has no user accounts and does not require you to sign up or log in to use any of its core features. The data you enter is stored locally in your own web browser unless you explicitly choose to enable optional cloud backup.
2. Data You Enter and How It Is Stored
Local storage (default): Your label collection database, saved searches, cached results, and theme preference are stored in your browser's localStorage on your device. This data never leaves your device unless you enable cloud backup or use a feature that contacts a third-party service (see Sections 3 and 4).

You can delete this data at any time using the Clear Local Cache control in the Settings menu, or by clearing your browser's site data.
3. Optional Google Drive Backup
If you choose to connect Google Drive ("Cloud Backup"), the Service syncs your collection database to your own Google Drive account so you can access it across devices. This feature is entirely opt-in and off by default.
- Authorization: We use Google Identity Services with the limited
drive.filescope, which only permits the app to access files it creates in your Drive. We cannot see your other Drive files. - What is stored: A folder named
EntoTools Backupscontaining a JSON snapshot and a CSV copy of your collection database, stored in your Drive — not on our servers. - Access tokens: OAuth access tokens are kept only on your device for the active browser session (in memory and your browser's
sessionStorage, which is cleared when you close the tab or browser). Tokens are never sent to or stored on our servers. - Revoking access: Click "Disconnect" in Settings, or revoke access anytime at your Google Account permissions.
Your use of Google Drive is also governed by Google's Privacy Policy.
4. Third-Party Services
To provide weather and location features, the Service sends the location and date information you search for (such as coordinates or place names) to the following third parties. We do not send your name, email, or other identifying information to them.
- NOAA NCEI — historical US weather data.
- Open-Meteo — historical/forecast weather, elevation, humidity.
- Nominatim / OpenStreetMap — geocoding of place names and coordinates.
- Sunrise-Sunset.org — sunset times.
- Google — Identity Services and Drive API (only if you enable Cloud Backup).
- Cloudflare — hosting, content delivery, and short-term caching of geocode lookups.
Each third party processes data under its own privacy policy.
5. Feedback
If you submit feedback through the Service, the message you write is transmitted to us so we can review and improve the tools. Please do not include sensitive personal information in feedback. Provide contact details only if you would like a reply.
6. Cookies and Tracking
The Service does not use advertising cookies or third-party analytics trackers. It uses your browser's localStorage only to remember your data and preferences as described above. Our hosting provider (Cloudflare) may process standard server logs and security cookies necessary to deliver and protect the site.
7. Children's Privacy
The Service is intended for general, educational, and research use and is not directed at children under 13. We do not knowingly collect personal information from children.
8. Changes to This Policy
We may update this Privacy Policy from time to time. Material changes will be reflected by updating the "Last updated" date at the top of this page. Continued use of the Service after changes constitutes acceptance of the revised policy.
